Terms of Service

1. Agreement to Terms
By accessing or using Little Loop (“the Platform”), whether through our web application, mobile application, or API, you agree to be bound by these Terms of Service (“Terms”). The Platform is operated by Galant Holdings (“we”, “us”, “our”).
If you do not agree to these Terms, you must not use the Platform.
2. Description of Service
Little Loop is a school communication and management platform that provides tools for:
- School administration (attendance, classes, terms, staff management)
- Parent-school communication (notifications, daily notes, photos, newsletters)
- Child wellbeing tracking (medical info, sickness tracking, daily notes)
- Financial management (fee tracking, invoicing, tuckshop orders)
- Operational tools (calendar, meetings, aftercare, extramurals, maintenance)
- Governance and compliance (audit logging, consent management, approval workflows)
3. User Accounts and Roles
3.1 Account Types
The Platform supports multiple user roles, including but not limited to: Super Admin, School Admin, Principal, Teacher, Finance Officer, Coach, Maintenance Staff, Tuckshop Manager, and Parent/Guardian.
3.2 Account Creation
- School staff accounts are created via invitation by an authorised administrator
- Parent/Guardian accounts are created via invitation by the school or through self-registration during onboarding
- You are responsible for maintaining the confidentiality of your account credentials
- You must provide accurate and complete information when creating your account
3.3 Account Deactivation
Authorised administrators may deactivate user accounts. Deactivated users are immediately blocked from accessing the Platform. You may request account deletion by contacting hello@littleloopapp.co.za.
4. Acceptable Use
You agree to use the Platform only for its intended purpose of school communication and management. You must not:
- Use the Platform for any unlawful purpose
- Upload or share content that is defamatory, obscene, harmful, or violates any person's rights
- Attempt to access data belonging to other schools or users outside your authorised scope
- Share your account credentials with any other person
- Upload photos of children without the appropriate consent from their guardians
- Use the Platform to send unsolicited commercial messages (spam)
- Attempt to reverse-engineer, decompile, or extract the source code of the Platform
- Interfere with or disrupt the Platform's infrastructure or security measures
5. Content and Data
5.1 Your Content
You retain ownership of all content you upload to the Platform, including photos, documents, notes, and other materials. By uploading content, you grant us a limited licence to store, process, and display that content to authorised users within your school community.
5.2 Photo Governance
All photos uploaded to the Platform are subject to our photo governance workflow. Photos must be approved by a designated staff member before being visible to parents. Photo sharing is subject to the consent preferences set by each child's guardian.
5.3 Data Ownership
The school retains ownership of all school-related data stored on the Platform. We act as a data processor on behalf of the school (the data controller) in accordance with POPIA.
6. School Agreements
Schools access the Platform under a separate service agreement that governs:
- Pricing and payment terms (customised per school)
- Module configuration and feature access
- Implementation timeline and onboarding support
- Data processing obligations under POPIA
- Service level commitments
These Terms of Service apply to all individual users of the Platform, in addition to any school-level service agreement.
7. Privacy and Data Protection
Your use of the Platform is also governed by our Privacy Policy, which describes how we collect, use, and protect personal information. By using the Platform, you acknowledge that you have read and understood our Privacy Policy.
We comply with the Protection of Personal Information Act (POPIA) of South Africa. Our full data protection practices are detailed in our Privacy Policy.
8. Intellectual Property
The Platform, including its design, code, features, documentation, and brand identity, is the intellectual property of Galant Holdings. You may not reproduce, distribute, modify, or create derivative works from any part of the Platform without our prior written consent.
The Little Loop name, logo, and brand assets are trademarks of Galant Holdings.
9. Service Availability
We strive to maintain high availability of the Platform but do not guarantee uninterrupted access. We may perform scheduled maintenance, deploy updates, or experience unforeseen outages. We will make reasonable efforts to notify users of planned downtime in advance.
We reserve the right to modify, suspend, or discontinue any feature of the Platform at any time, with reasonable notice to affected users.
10. Limitation of Liability
To the maximum extent permitted by South African law:
- The Platform is provided “as is” without warranties of any kind, whether express or implied
- We are not liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Platform
- Our total liability for any claim arising from these Terms shall not exceed the fees paid by your school in the 12 months preceding the claim
- We are not responsible for content uploaded by users, decisions made based on Platform data, or actions taken by school staff
11. Indemnification
You agree to indemnify and hold harmless Galant Holdings, its directors, employees, and agents from any claims, damages, losses, or expenses (including legal fees) arising from:
- Your violation of these Terms
- Your misuse of the Platform
- Content you upload that infringes on any third party's rights
- Your failure to comply with applicable laws, including POPIA
12. Termination
We may suspend or terminate your access to the Platform if you breach these Terms, if your school's service agreement is terminated, or if your account is deactivated by an authorised administrator.
Upon termination, your right to use the Platform ceases immediately. Data retention after termination is governed by our Privacy Policy and any applicable school service agreement.
13. Governing Law and Dispute Resolution
These Terms are governed by the laws of the Republic of South Africa. Any disputes arising from these Terms or your use of the Platform shall be subject to the exclusive jurisdiction of the courts of South Africa.
Before initiating legal proceedings, parties agree to attempt resolution through good-faith negotiation for a minimum of 30 days.
14. Changes to These Terms
We may update these Terms from time to time. When we make material changes, we will notify users through the Platform and/or by email. Continued use of the Platform after changes are posted constitutes acceptance of the updated Terms.
